Job Description
This position reports to the Assistant Registrar and serves on a team that supports the Academic Advisement Report and Jacks Planner, (AAR/JP) which are the Degree Audit tools used by the university. The Degree Audit job functions and responsibilities relate to collaboration, building, analysis, testing, and PeopleSoft entry for Academic Advisement Report and Jacks Planner, in order to facilitate Graduation area processes. This position requires regular interaction with university faculty, staff, and administrators across NAU to clarify needs and resolve concerns related to student academic records.
AAR/JP Subject Matter Expert - 75%
• In conjunction with Associate/Assistant Registrars, manages setup and system processes related to student records (including but not limited to building and maintaining Academic Advisement Reports, Jacks Planner, and supporting graduation processes).
• Routinely and independently makes and implements decisions to accomplish divisional goals and objectives while working under the guides of university policy.
• Ensures that processes in assigned area are completed accurately and that aggressive deadlines are met.
• Builds and maintains Academic Advisement Report and Jacks Planner rules for NAU general education, majors, minors, and certificates.
• Creates and/or modifies rules as needed to be consistent with NAU's annual academic catalogs for the Academic Advisement Report and Jacks Planner.
• Troubleshoot tool issues, build Degree Audits, and schedule planners.
• Analyzes Academic Advisement Report and Jacks Planner exception patterns and provides feedback to colleges and departments to support the development of more accurate and automated student support tools.
• Manages and processes complex student exceptions and individualized requirements submitted by academic units, communicating with them as needed to ensure accuracy of setup.
System Analysis, Testing, Troubleshooting and Process Implementation - 15%
• Performs system testing for fixes, new implementations, and PeopleSoft Updates.
• Conducts analysis and system testing resulting from Oracle/PeopleSoft updates and fixes and major system upgrades.
• Assists with directed integration testing of systems, modifications, and vendor products.
• Tests rules with student data to ensure accuracy and completeness of setup.
• Assists in the analysis, development, and integration of new or revised policies and procedures for various student information systems and ensures all FERPA guidelines are met.
External Stakeholder Collaborations and Communications - 5%
• Contributes to the development of the ongoing vision, mission and goals of the Academic Advisement Report and Jacks Planner area by working with the university community to develop new processes and procedures to make the Academic Advisement Report and Jacks Planner systems more efficient and easier to use.
• Collaborates with external stakeholders to develop new processes and procedures for the enhancement of the AAR and JP tools.
• Works with Academic Affairs Business Analysts to develop more accurate and automated student academic records tools.
• Serves as a student academic records liaison to university committees as needed.
• Serves as a liaison between the Registrar's Office, University Advising, academic departments, Online Education and Innovation offices, Undergraduate Admissions and Orientation, Graduate College, Financial Aid, Student Accounts, and Center for International Education, etc.
Other - 5%
• Participates in special projects as assigned.
Minimum Qualifications
• Undergraduate Bachelor's degree AND
• 3-5 years of relevant experience in procedural, management, or systems analysis work; OR,
• Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.
Preferred Qualifications
• Experience in procedural, management, or systems analysis work.
• Experience with student information systems: Oracle/PeopleSoft, Banner, etc.
• Experience with managing system setup and/or researching and resolving system problems preferred.
• Experience with database query tools.
• Knowledge of NAU student academic records practices and functions (e.g., student program/plan data; graduation application processes; enrollment and student statistics data and functions; student groups, student milestones, etc.).
• Familiarity with the functions of the Registrar's Office, Undergraduate Admissions, Financial Aid, Student Accounts, and Strategic Planning, Institutional Research, and Analytics.
Knowledge, Skills, & Abilities
• Knowledge of college and university curriculum, policies, and procedures.
• Knowledge of college and university academic advising practices and functions.
• Knowledge of higher education administrative systems and related business principles.
• Knowledge of principles and techniques used in performing systems analysis.
• Knowledge of FERPA.
• Skill in coordinating activities, evaluating data, and establishing priorities.
• Skill in developing and conducting training programs.
• Excellent computer skills: Microsoft Office, databases, Internet.
• Expert in Student Information Systems.
• Excellent logical analysis, problem-solving and troubleshooting skills.
• Strong attention to detail with demonstrated ability to meet deadlines.
• Excellent oral and written communication skills, with strong interpersonal and customer service skills.
• Demonstrated ability to work efficiently and effectively in a team setting, and to work independently as a proactive problem solver.

Salary
Salary range begins at $44,000. Annual salary commensurate with candidate's qualifications and related experience.
FLSA Status
This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.
