Job Description
The Events Manager (EM), a key position in the Arizona GEAR UP 2019-26 GEAR UP grant, brings high-level, advanced events planning, coordination, and management expertise to the project. Additionally, the EM brings complementary experience and skills related to event planning using communications, publications, marketing and social media. The EM is accountable for leading the planning, coordination, management and execution of events for Arizona GEAR UP that emphasizes grant partners as a key audience to further the GEAR UP mission, including coordinated, cohesive delivery of services. Reporting directly to the Gear-Up director, the ideal candidate for this position is committed to expanding equity and access to postsecondary education among underrepresented populations, possesses knowledge about college-going processes, and understands the systemic barriers that students face while preparing for postsecondary education.
Conference Planning Lead & Event Planning - 50%
• Responsible for leading the planning and execution of the GEAR UP West Conferences.
• Manage the delivery and evaluation of hosting/participating in GEAR UP West Conferences.
• Collaborate with vendors to develop a theme, design promotional materials and set the overall tone of the event. Research and select appropriate venues while ensuring it meets the organizer's requirements.
• Coordinate with the venue management team to arrange necessary facilities, such as parking, security and catering.
• May require negotiation with suppliers and vendors to source additional services for the event.
• Responsible for event budget oversight, and possible fund allocation management for events.
• Identify potential risks associated with the event and develop strategies to mitigate them. Then, implement safety measures, create contingency plans and ensure compliance with legal, health and safety regulations.
Partner Convening Lead - 30%
• Lead the planning, execution, delivery, and evaluation of hosting an annual convening of GEAR UP schools and grant-project partners.
Event Marketing & Execution Support - 10%
• Advise, consult, educate, assist, and support project staff with their event needs and efforts such as school coaches' trainings, high school and middle grade staff trainings, as well as other grant related events.
• On event days, responsible for coordinating all aspects of the event, ensuring that it runs smoothly and according to plan. Responsible for managing the event team, oversee setting up the event, troubleshoot any issues that arise and ensure that the event meets its objectives.
• Upon event conclusion, collect feedback from attendees, organizers and team members, then analyze feedback to evaluate event success and identify areas for improvement.
• Work with the team in developing and implementing college access marketing strategies incorporating traditional and social media with an emphasis on events.
• Write effectively, keeping in mind the user experience, content strategy, institutional mission, and project-wide priorities with an emphasis on eliminating ambiguity and seamless communications.
• Collaborate with subject matter experts, content contributors, and reviewers to achieve high-quality events and deliverables.
• Using various promotional channels, such as social media, email marketing and print advertising, to raise awareness about the event and encourage attendance.
Professional Development and Engagement - 5%
• Collaborate and network with subject matter experts, content contributors, and reviewers to achieve high-quality events and deliverables.
• May serve as a representative of Northern Arizona University and public higher education in state and national meetings related to the GEAR UP grant.
• May participate in grant related meetings.
• Coordinate and work with other team members on supporting the GEAR UP website, newsletter, social media, print publications and listservs.
Other - 5%
• Other duties as assigned.
• May be assigned other administrative projects or responsibilities related to line of work.
Minimum Qualifications
• Bachelor's degree in related field AND
• 1-2 years of project management experience.
• 2-4 years of relevant experience.
• A combination of related education, experience and training may be used as an equivalent to the above educational Minimum Requirements.
Preferred Qualifications
• Master's degree in a related field.
• Commitment to equity in education and working with underrepresented and diverse groups.
• Experience related to education and college access fields.
• Expert knowledge of event planning tools, processes, and concepts.
• Knowledge of processes for engaging and recording feedback from attendees.
• Experience and comfort in making presentations at meetings and conferences.
• Experience with social marketing and communications related to events.
• Experience gathering, classifying, categorizing, and readily retrieving information to provide timely and clear communications with project stakeholders and participants.
• Experience in event and grant proposal preparation.
• Bilingual - English/Spanish and/or experience with language translation projects.

Driving Requirement
Driving a vehicle on behalf of the university is anticipated to be a regular part of this position. Arizona Administrative Code Fleet Safety Policy requires all employees who drive on university business become authorized by submitting Driver's license information for driving record monitoring, and completion of training appropriate to the level of driving performed. The law applies to all faculty, staff, and students who drive personal or university-owned motorized vehicles for any business purpose. Salary
Anticipated salary range is $58,882 - $62,000. Annual salary commensurate with candidate's qualifications and related experience.
FLSA Status
This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
